Guarantees & Policies
Here you’ll find our farm’s policies, guarantees, and procedures
DISCLAIMER: By placing an order with Dahline Poultry, you agree to all policies listed on this page. Policies are subject to change without prior notice. We reserve the right to refuse service, modify orders, or adjust our policies at any time at our sole discretion.
LIVE ARRIVAL GUARANTEE
We guarantee the live arrival of your poultry shipment. In the rare event that any birds arrive deceased, you must notify us within 24 hours of delivery and provide clear photographs documenting the losses.
After reviewing your claim, we may offer a refund, store credit, or replacement at our discretion.
Important: Our live arrival guarantee applies only to the time of delivery. We do not guarantee poultry survival beyond 24 hours after delivery. Customers are responsible for providing appropriate care, housing, heat, feed, and water immediately upon arrival.
To ensure your claim can be reviewed, please inspect your shipment promptly upon delivery and submit any reports of losses within the required 24-hour window.
BREED SUBSTITUTION AND ORDER FULFILLMENT POLICY
We make every effort to fulfill each order exactly as placed. However, due to natural variations in hatch rates, certain breeds may be unavailable on the scheduled hatch date.
If a breed in your order is unavailable, we will attempt to contact you to discuss available options, which may include:
- Substitutions: Choosing an available alternative breed.
- Rescheduling: Moving your order to a future hatch date.
- Quantity Adjustments: Modifying the quantity of poultry in your order based on availability.
No Unauthorized Substitutions: We will never substitute a breed without your permission.
If we are unable to reach you, we reserve the right to ship the available portion of your order or reschedule your order at our discretion.
To help avoid delays, customers are encouraged to monitor their email and phone before and on the scheduled hatch date.
Substitution Preferences: If you have preferred alternative breeds, you may include those preferences in the order notes at checkout. While we will do our best to accommodate your preferences, all substitutions are subject to availability and your approval.
ORDER CANCELLATION POLICY
Orders may be cancelled up to 7 calendar days before the scheduled hatch or ship date.
Approved cancellations are subject to a processing fee of 15% of the order total or $15, whichever is greater.
Cancellation requests made within 7 calendar days of the scheduled hatch or ship date are non-refundable.
Please review your order details carefully before confirming your purchase.
QUALITY & HEALTH GUARANTEE
All chicks and poultry leave our facility visibly healthy and are properly vaccinated when vaccination is selected at the time of purchase.
We guarantee live delivery; however, we are not responsible for poultry losses resulting from customer handling, improper brooder setup, or exposure to extreme weather conditions after arrival.
Customer Care Responsibilities: Upon arrival, customers are responsible for providing appropriate care and housing, including:
- Adequate heat and a properly prepared brooder.
- Clean, suitable bedding.
- Appropriate feed.
- Fresh, clean water.
Proper preparation before your poultry arrives is essential to help ensure a healthy transition and minimize stress and losses.
ORDER CHANGES POLICY
Customers may request changes to their orders, including breed substitutions and quantity adjustments, up to 7 calendar days before the scheduled hatch date. All change requests are subject to availability.
Order reductions: If you choose to decrease your order quantity, a 15% restocking fee will apply.
How to Request Changes: All change requests must be submitted in writing to contact@dahlinepoultry.com.
Requests submitted within 7 calendar days of the scheduled hatch date may not be accommodated, and changes are not guaranteed.
Please review your order carefully and submit any requested changes as early as possible to allow time for processing.
MAREK'S VACCINATION POLICY
Customers may select Marek’s Disease vaccination for their chicks during checkout. If selected, chicks will be vaccinated prior to shipment or local pickup.
Vaccination Disclaimer: Marek’s Disease vaccination is not 100% effective and does not guarantee complete protection against infection or illness.
Unvaccinated Chicks: Chicks shipped or picked up without Marek’s Disease vaccination are at the customer’s risk. Dahline Poultry is not responsible for Marek’s-related illness in chicks for which vaccination was declined.
Customers are encouraged to carefully consider their vaccination preferences when placing an order and to consult a poultry veterinarian regarding appropriate disease prevention and flock management practices.
SHIPPING ADDRESS POLICY
Customers are responsible for providing an accurate and complete shipping address at the time of purchase.
Dahline Poultry is not responsible for orders that are delayed, misrouted, or delivered to the wrong post office due to incorrect or incomplete shipping information provided by the customer.
Please double-check your shipping address before submitting your order to help ensure your poultry shipment reaches the correct destination without unnecessary delays.
EXTRA CHICKS POLICY
As a courtesy, we do our best to include a few extra chicks with most orders, typically around 1-4% of the order quantity. However, extra chicks are not guaranteed.
Factors such as hatch rates, breed availability, and shipping constraints may affect our ability to include additional chicks.
Customers should plan their brooder space, supplies, and flock needs based on the number of chicks ordered and paid for. Only the purchased quantity is guaranteed, and no refunds or credits will be issued for extra chicks received beyond the quantity ordered.
We appreciate your understanding as we work to provide healthy poultry and fulfill each order as accurately as possible.
SEXING ACCURACY POLICY
Our sexed poultry, including pullets and cockerels, come with a 90% sexing accuracy guarantee.
If more than 10% of the sexed poultry in your order are incorrectly sexed, we will offer compensation in the form of a refund or store credit based on the number of incorrectly sexed birds exceeding the 10% allowance.
To evaluate a claim, we may request photographs of the poultry to help verify their sex.
Exclusions: Straight-run (unsexed) poultry is excluded from this guarantee and is not eligible for compensation under this policy.
ORDER MINIMUM REQUIREMENT
To help maintain adequate warmth and improve survivability during transit, a minimum order of 10 live poultry items is required per order. This minimum applies to chicks, ducklings, and other live poultry.
Orders that do not meet the 10-item minimum may be delayed or canceled.
Please ensure your order meets the minimum quantity requirement before completing your purchase. This policy helps us prioritize the health and well-being of your poultry during shipment.
SHIPPING & HATCH DATE DELAYS
We make every effort to meet scheduled hatch and shipping dates. However, delays may occur due to circumstances beyond our control, including fertility rates, hatch rates, adverse weather conditions, and USPS shipping delays.
If a delay occurs, we will notify customers as soon as reasonably possible and provide updates when available.
Liability for Delays: Dahline Poultry is not responsible for damages, additional costs, or other losses resulting from hatch or shipping delays, to the extent permitted by applicable law.
We appreciate your patience and understanding as we prioritize the health and safe delivery of your poultry.
LOCAL PICKUP POLICY
Customers who select local pickup must collect their poultry on the scheduled pickup date, which is typically the day after hatch.
A confirmation email containing pickup instructions will be sent before the scheduled pickup date. We will also contact you by phone on hatch day to arrange a specific pickup time for the following day.
Please note: Orders that are not collected on the scheduled pickup date may be forfeited without a refund.
A ventilated box will be provided to ensure your poultry can be transported home safely.
REFUND POLICY
Refunds are reviewed on a case-by-case basis and, if approved, will be issued according to the following terms:
- Original Payment Method: Approved refunds will be credited to the original payment method used for the purchase.
- Expired Payment Cards: If the original payment card has expired, a USPS money order will be mailed to the original purchaser. A $5 processing fee will be deducted from the refund amount.
- Live Poultry Losses: Refunds for live poultry losses beyond the applicable live arrival window are not guaranteed and will be evaluated on a case-by-case basis.
- Extra Poultry: Occasionally, orders may include extra poultry. No refunds will be issued for extra poultry received beyond the quantity originally ordered.
- Shipping Charges: Shipping charges are non-refundable, including in the event of a poultry loss.
- Alternative Payment Methods: Refunds will not be issued through alternative or third-party payment methods.
Please note that all refund requests are subject to review and approval. Submission of a refund request does not guarantee that a refund will be issued.
BIOSECURITY, RETURNS AND HATCHERY ACCESS
At Dahline Poultry, protecting the health and safety of our birds and customers is a top priority. We follow strict biosecurity protocols to help prevent the spread of disease and maintain a healthy environment for our flocks.
Live Poultry Returns and Final Sales
We do not accept returns of live poultry under any circumstances. Returning live birds poses a serious biosecurity risk to our flocks.
All live poultry sales are final once the order has been picked up or shipped, subject to any applicable guarantees or policies outlined by Dahline Poultry.
Hatchery Access Restrictions
For biosecurity reasons, public access to our hatchery facility is not permitted. This policy helps minimize the risk of introducing outside contaminants or diseases into our poultry environment.
Local Pickup Procedure
Customers who select local pickup are welcome to collect their orders through our designated curbside pickup process.
Upon arrival, please follow these steps:
- Remain in your vehicle. Customers are not permitted to enter the hatchery facility.
- Call us at 320-979-6910 to notify our staff of your arrival.
- Wait for assistance. A staff member will bring your order directly to your vehicle.
We appreciate your cooperation in following these procedures. These measures help maintain a clean, disease-controlled environment and uphold our commitment to the health and well-being of every flock.
